Overview


Client information is often extremely sensitive. In some instances, you may have extremely sensitive or confidential clients which (internally) need to be access by some users, but not by others. Troika has the function to apply 'Security Groups', both within the Wealth Management and Administrator modules. These instructions will show you how to apply these.


Administration & Compliance Security Groups


From the Utilities module, select the Security tab and the menu option Administration Settings. Select the sub menu option, Define Administration Security Groups.


Any existing Administration Security Groups are show in the top right.


All available entities to assign to a new Administration group are shown in the bottom left 'Entities' pane. Please note, a client can be included in many Administration Security Groups, and a user can have access to many difference Administration Security Groups.


To add a new Administration Security Group, click the Add New Entry button next to the Administration Security Groups/Name field. Enter an appropriate name for the new group, and click OK to save.


The new group will be selected as default.


The Entities list is populated with all client entities on your Troika database, and the Members of New Group field will currently be blank (the group is new, and there are no members of it).


Choose the clients to be included within the new group from the Entities list, and click the 'Right' arrow to move them to the Member of New Group list. Hold down CTRL to select more than one at a time. If easier, transfer the entire list (click the top entry, hold down the Shift key on the keyboard and then click the final entry to select all of them) and then highlight the odd exception from the Members of New Group field, and use the 'Left' arrow to remove them.


If helpful, the Filter Selection options are available to filter the Entities list, to assist in locating clients to add.


Once done, click Close to save changes.


To amend an existing Administration group, select the group from the Administration Security Groups field, and use the 'Left'/'Right' arrows to remove/include new clients within the group as appropriate.


Once done, click Close to save changes.


Wealth Management Security Groups


From the Utilities module, select the Security tab and the menu option Wealth Management Security Groups.


Any existing Wealth Management Security Groups are shown in the top right. Please note, a client can be included in many Wealth Management Security Groups, but a user can have access to only one Wealth Management Security Group.


To add a new Wealth Management Security Group, type an appropriate name for the new group in the New WM Security Group field. Click Accept to add to the WM Security Groups list.


Select the new group from the WM Security Groups list. The All Clients list will be populated with all client entities on your data, and the included list to the right will be blank (the group is new, and there are no members of it).


Choose the clients to be included within the new group from the All Clients list, and click the 'Right' arrow to move them to the included list. Hold down CTRL to select more than one at a time. If easier, transfer the entire list (click the top entry, hold down the Shit key on the keyboard and then click the final entry to select all of them) and then highlight the odd exception from the right hand list, and use the 'Left' arrow to remove them.


Once done, click Click to save changes.


To amend an existing Wealth Management Security Group, select the group from the WM Security Groups field, and use the 'Left'/'Right' arrows to remove/include new clients within the group, as appropriate.


Once done, click Close to save changes.


Assigned New Security Groups to User


Once you have the new security groups set up, you will need to amend your user accounts, to assign the correct access to your users.


From the Utilities module, select the Security tab and the menu option User Groups - Edit.


Select the user from the left hand side, and make any necessary amendments to the Wealth Management Security Group by using the drop down list available. A user can only have access to the one Wealth Management Security Group.


To make any amendments to the Administration Security Group(s), select the Edit button to the right of the field.


Current Administration Security Groups Allocated to this user will be displayed on the right.


To add further Administration Security Groups, select from the left, and click the 'Right' arrow. To remove any, select from the right list, and click the 'Left' arrow.


A user can have access to more than one Administration Security Group.


Click Close to save changes to the Administration Security groups.


Click Close to save changes to the user record.


For changes to user accounts to take effect, please be advised the user should exit Troika and log back in.


Reporting on Security Groups


To print a report of all clients within a particular Administration Security Group, from the Utilities module, select the Security tab and the menu option Administration Settings. Select the sub menu option Define Administration Security Groups.


Select the Administration Group from the top right, and click the 'Print Preview' button.


To print a report of all clients within a particular Wealth Management Security Group, from the Utilities module, select the Security tab and the menu option Wealth Management Security Groups.


Select the WM Security Group from the top right, and click the 'Print Preview' button.
