New Features in WealthWorks+ 4.12.1

Contact Security Groups

This release introduces a new entity and contact security model in WealthWorks+, updating and replacing the current entity security controls in all previous releases.  Prior to this release, all entities were assigned to one or more Security Groups, and users were granted access to these security groups, controlling exactly who can access what.  This excluded contacts who were not managed entities, allowing all users to gain access to all basic contact records.


This release now includes security around all contacts too, providing control of both contacts and entities, and what a user can and cannot see.  If this feature isn't necessary for your organisation, follow these instructions below: -


I don't need to control access to Contacts


When the upgraded release is applied, all your existing security groups will be available still via System Administration > Users> Contact Security Groups.  These can be amended in the normal way by using the filters in the left hand pane to restrict the lists to managed entities, assigning and removing them from Contact Security Groups.  Existing Contact Security Groups will still be assigned to users via System Administration > Users > Edit User, and the Entity Access tab.  


All existing contacts will be automatically assigned to a new default WealthWorks+ Contact Security Group called 'Public'.  All users will be given access to the public contact security group initially.


All existing Users contact records will be automatically assigned to a new default Contact Security Group called 'Users'. All users will be given access to the Users contact security group initially.


Adding Contacts

When adding new Contacts in WealthWorks+, users will now see the option to select Contact Security Groups when creating new contacts in the system.  Select 'Public' for continued general access to contacts for all users.  If the contact record is for a new user account, also select 'Users' for continued access to user related content.  


Onboarding New Entities

When onboarding new entities in WealthWorks+, select a contact security group during first step of onboarding as you would have previously done with security groups in prior releases of WealthWorks+.


I want to restrict access to Contacts with the new Contact Security Groups


From the System Administration > Users> Contact Security Groups, click on the add button to create new contact security groups and assign contacts to these new groups using the filters and panes displayed, saving contacts to the new groups. Via the menu System Administration > Users > Edit User, Entity Access tab, add the new contact security groups to each user as required and remove contact security groups that are no longer required.


For users to be able to move contacts between their assigned Contact Security Groups, a new portlet within the contact classification tab as been enabled.  To access this new portlet, a new permission needs to be granted for users who require this feature: -


Manage Contact Security Group membership


Access to the Contact Security Group Membership from the Classification portlet for contacts can be granted to users via the following permissions for built-in roles provided by WealthWorks+.  If you have created your own roles for users, you will need to grant permissions to the Entity Details > Classification > Contact Security Group Membership to give access to the above function.

Contact Security Groups can also be displayed for each contact by viewing a new Contact Security Group column within the Contact Directory page.


Once the Contact Security Groups have been configured for users and contacts, users will only be able to access contacts assigned to them.  Where an entity that user has access granted to them, also has relationships or register entries with contacts outside of their Contact Security Groups, the name of the contact will still be displayed so the entity records are 'complete', however the user will no longer have access to the underlying contact record if it is accessed.  The record will display a warning 404 page not able to be displayed message.  If the relationship or register is edited, the contact selection can be changed to a contact within the users contact security group.


The organisational charts will also display any contacts outside of security groups if a register or relationship exist for an entity with access granted to the user.


The reports should be restricted for users with restricted contact security groups to editions of the reports with restricted access.  Further reports with limited access to contacts will be made available in future releases.


Non-Managed Entities

The three record types in this release are now Contacts, Managed Entities and the new Non-Managed Entities.  Existing Managed Entities will be included in the dashboards, reporting and processes such as bulk assignment of changes and change approval.  Non-Managed Entities will exclude an entity from these features. A Non-Managed entity can be used to maintain administration data such as other directorships and investment holdings, outside of your managed entity obligations.  Non-Managed Entities could be used for internal companies such as Nominee and secretarial service companies.


A Non-Managed entity can be created via the entity onboarding, selecting Non-Managed in the administration step.  An existing Managed Entity can be switched to Non-Managed by editing the Entity Details portlet found within the Administration tab of an existing entity.  


Non-Managed Entities can be found in a separate listing page, Non-Managed Entity List appearing beneath the existing Managed Entity List. Non-Managed entities also appear in the system with a square icon for the record type and a purple title bar so they can be clearly identified.   The Contact Directory, also has a 'record type' filter to restrict the directory to Contacts, Managed Entities and Non-Managed Entities.


Optional Ethnic Grouping  

A new option can be enabled to record ethnic group data for individuals. To access this feature, check the option on the System Administration, Entity Administration page.  Enabling this option will allow optional ethnic group data to be maintained for all individual contacts.  You should ensure maintaining this data within WealthWorks+ meets your own local legislation which may govern the collection of ethnic group data.  


Once enabled, ordered ethnic groups can be setup via the Options, Maintain Lists page.  The new field is displayed with the identity portlet.


Other Changes


3965      A change has been made to improve the loading speed of the registers tab on entities.

8023      The WhatsApp field on the internet contacts portlet  other internet contact field can now be displayed as hyperlinks if prefixed with Http:// or Https://  

9637      The Malaysian Secretarial License field for an individual has been increased to 50 characters and now accepts any value.

9638       The Company Secretary License Number field will also display where the contact is domiciled or resident in India.

8149       A change has been made to the Company Share ledgers to allow larger numbers (up to 18 digits before decimal point).

5975       Labels for the contact field, Your Reference have been made consistent, throughout the entity listing, onboarding and portlets.

7186        The Minutes schema details for text has been extended from 255 characters to 8000 characters to allow for longer paragraphs of text.

7187        You can now view changes and the history on Individual contact 'occupation' field.

7300        A correction has been made to the Shares Held, Capital Details calculations for no par value shares to use the Call Amounts from the Cal Schedule. 

8024        The Next Meeting Dashboard now removes past meetings where 'minutes signed' field populated 

8025        The Next Meetings Dashboard now includes data for individuals meetings.
