Overview


If the entity record you wish to delete is only set up as an entity and is not attached to other entity/client records, then deleting it is simple (and doesn’t require administrative privileges). Where the entity is in use elsewhere within the system, or has been turned into a client record, then deletion should be done by a user with the appropriate authority.


Deleting a non client entity record


From the Administration and Compliance module, select the Global tab and the menu option Entities - Edit. Locate the entity record, using the Type and Role drop down lists if required. Highlight the entity and click Edit.


Then, to delete, click Delete in the bottom left of the screen.


If the entity is in use within the system it will not allow you to delete the record. Please contact support if you require further assistance.


Deleting a client entity record


If the record is a client then it can only be deleted from the Utilities module by a user with the appropriate administrative privileges. Delete a client from the Utilities module, select the Tools tab and menu option Delete Clients.


When selecting the client to delete, if they have been set up with the same name it is essential that you check carefully that the client ID number in the third column is correct one that you wish to get rid of. Once selected, click the Delete button.


This deletion operation is in two stages. The first removes the client record and the second removes the entity record. Click Yes to delete the client record. Then click Yes again to delete the associated entity record.


Remember the top level record is the entity and then attached to that is the client record so that the two together make up your client.


Reinstating a Deleted Client


In the event you deleted an incorrect client, it is possible to reverse this.


From the Utilities module, select the Tools tab and the menu option Delete Clients. Select the client from the Deleted Clients drop down list and click the Undo/Reinstate button. Click Yes to confirm and the client will be reinstated.
